Refund Policy

At Nayla African Safaris, we understand that travel plans can change unexpectedly. This Refund Policy explains how cancellations and refunds are handled for bookings made with us. By confirming a reservation, you agree to the terms below.

1. General Policy

All bookings require a deposit to secure accommodations, park fees, and other services. Some of these costs are non-refundable as they are paid in advance to third-party providers (lodges, airlines, parks, etc.).

Refunds are calculated based on the total value of your booking excluding non-refundable items and bank/transaction fees.

2. Cancellation by the Client

If you need to cancel your trip, you must notify us in writing (email or WhatsApp message with written confirmation). The following charges apply:

  • 90 days or more before arrival:
    Refund of all payments made, minus non-refundable third-party costs and transaction fees.

  • 60–89 days before arrival:
    25% cancellation fee of the total trip cost. The remaining balance (if any) will be refunded, minus non-refundable services and fees.

  • 31–59 days before arrival:
    50% cancellation fee of the total trip cost.

  • 15–30 days before arrival:
    75% cancellation fee of the total trip cost.

  • 0–14 days before arrival or no-show:
    100% cancellation fee — no refund.

Please note: Some services such as internal flights, special permits, and certain lodge bookings may be fully non-refundable once reserved. These will be clearly communicated during your booking process.

3. Amendments Instead of Cancellation

Where possible, we will always try to reschedule or amend your trip instead of cancelling it completely.

  • Date changes may be allowed subject to availability and supplier policies.

  • Any additional costs (seasonal rates, hotel changes, airline change fees) will be charged to the client.

  • In some cases, a change of date may be treated as a cancellation by third parties, and their terms will apply.

4. Cancellations by Nayla African Safaris

We reserve the right to cancel a booking in exceptional circumstances, such as:

  • Safety or security concerns

  • Natural disasters or severe weather

  • Political instability or park closures

  • Failure to receive final payment by the due date

If we cancel your trip for reasons within our control, you will receive a full refund of all payments made to us, excluding any non-refundable third-party payments already paid on your behalf. Where possible, we may also offer an alternative trip of similar value.

5. Force Majeure (Events Beyond Our Control)

Nayla African Safaris is not liable to provide full refunds for cancellations caused by events beyond our control, including but not limited to:

  • Natural disasters (floods, earthquakes, etc.)

  • Epidemics or pandemics

  • War, strikes, or civil unrest

  • Government restrictions or border closures

  • Flight cancellations or major schedule changes

In such cases, we will do our best to work with suppliers to secure postponements, credits, or partial refunds, but these will depend on third-party policies.

6. No-Shows & Partial Use of Services

  • No-shows (failure to arrive without prior notice) are not eligible for any refund.

  • If you choose to leave a trip early or skip any included services (game drives, activities, nights, meals), no refunds will be made for unused portions of the itinerary.

7. Travel Insurance

We strongly recommend that all guests purchase comprehensive travel insurance that covers:

  • Trip cancellation and interruption

  • Medical emergencies

  • Travel delays

  • Lost baggage

This can help protect you from financial loss if you need to cancel or change your plans unexpectedly.

Approved refunds will be:

  • Processed via the same payment method used for the booking, wherever possible.

  • Issued within a reasonable period, typically 14–30 business days, depending on banks and third-party providers.

  • Reduced by any bank charges, credit card fees, or non-refundable third-party costs.
